Five Revenue Scheduling and Forecasting Features You Can't do Without

 1. Auto-Generate Revenue Schedules

RevenueCloud generates monthly Quantity and Revenue Schedules for Opportunity Products between Start Date and End Date. Unlike standard Salesforce product schedules, these RevenueCloud Line Item Schedules (RCLIS) are generated for you when you simply create the Opportunity Product and enter the dates. And these schedules do not tie up your Opportunity Product Quantity, Sales Price and Total Price fields as standard salesforce product schedules do. You can continue to make changes to all of the fields on your Opportunity Products and the schedules will continue to be regenerated to represent a monthly forecast. 

Digital Advertisers particularly like the Monthly Prorated schedule format, which elegantly generates schedules that are prorated by month according to the days in each month, such as 1/15/22 - 3/15/22, which would place 16 days of the total product value in January, 29 days of the value in February and 15 days worth in March.

2. Enter Quantity to Auto-Calculate Revenue

Many Salesforce Customers told us they want to be able to just enter Quantity and have Revenue amounts automatically calculated. It just makes sense, right? But Salesforce standard product schedules absolutely do not support this, which leads to Sales Reps refusing to enter schedules, which means you don't have decent forecast data. 

But with RevenueCloud, you can just enter your quantity in your schedule entries (screenshot below). The Revenue will be automatically populated and the Opportunity Product Sales Price will remain unchanged regardless of your Quantity entries. The result will be full-fledged, fully reportable Quantity and Revenue Schedules in a fraction of the time and effort required to do the same using standard Salesforce product schedules.

3. Track Actual Quantity and Revenue 

We've seen lots of Salesforce Customers struggle with true-ups and updates of their Quantity and Revenue forecasts where they overwrite the forecast to true it up to actuals throughout the year. This is not only tedious, but also results in losing the ability to measure the accuracy of the forecast by overwriting it to true up with actuals! Remember, as the old business saying goes: "what is measured is improved", if you don't overwrite your forecast to add actuals, you can review and measure the accuracy of your forecasts. 

With RevenueCloud, you can enter Actual Quantity and Actual Revenue as you go, without changing the original scheduled Quantity and Revenue. Additionally, you can add custom fields for statuses or other criteria which can further enhance your forecast reports!

4. Split Schedules Between Reps

Unlike Salesforce standard product schedules, which do not get split when you use Salesforce Opportunity Splits, RevenueCloud Line Item Schedules (RCLIS) are automatically split to create detailed, granular forecast data that is incredibly customizable and always rolls up to agree with the (un-split) sums of your standard Salesforce data. You don't have to do anything to make this happen, just be a RevenueCloud licensed User and edit your Opportunities, Products and Schedules.

5. My Revenue Dynamic Forecast Reports

RevenueCloud includes a powerful dynamic reporting feature called "My Revenue". These RevenueCloud reports are special Salesforce reports that are fully configurable to include ALL of your custom fields and any other objects related to Opportunities that you want to include. 

My Revenue reports enable Reps to dynamically see their splits of all Opportunities, Products and Schedules without the troublesome effects of Salesforce Role Hierarchy (related to Opportunity ownership) that you may have experienced when trying to do this in standard Salesforce reports.

Unlike Salesforce Opportunity Splits, RevenueCloud has a Line Item Schedule Object that is actually split into separate records for each Rep (salesforce user) who is referenced on an Opportunity or Product-level splits. The RevenueCloud Line Item Schedule Object is fully customizable (unlike the Salesforce schedule object), so it offers almost infinite possibilities for click-to-configure customization.

RevenueCloud Opportunity Splits automatically assign a default 100% split for the Opportunity owner and always apply to any products and schedules included in the Opportunity. All split data is updated every time the Opportunity is edited.

RevenueCloud Product Splits enable you to change the split percentages between Reps (Salesforce Users) on particular Opportunity Products.

Automated Monthly Revenue Scheduling

The RevenueCloud Subscriptions Feature enables automatically generating RevenueCloud Line Item Schedules either evenly divided by month (like the standard Salesforce model) or prorated according to the number of days of each month between Start Date and End Date.

Since the RevenueCloud Subscriptions Feature generates only RevenueCloud Line Item Schedules on every Opportunity Product Save and not Salesforce Standard Schedules, The standard Quantity and Sales Price fields on Opportunity Product will not be read-only as would be the case with Salesforce Standard Schedules.

The Quantity, Sales Price, Date and End Date may all be edited simultaneously and RevenueCloud will re-write the prorated or evenly divided schedules on every Save!

The screen shot below shows the RevenueCloud Line Item Schedules that were automatically generated by the RevenueCloud Subscriptions Feature when the Opportunity Product (screenshot above) was saved.

Remember that the Start Date was 1/15/16 and the End Date was 3/15/16. So the schedules have been split between the two Reps and also prorated to reflect the number of days covered in each month by the date range multiplied times the daily value as follows:

  • January: 1/15/16 - 1/31/16 = 16 days
  • February: 2/1/16-2/29/16 = 29 days
  • March: 3/1/16 - 3/15/16 = 15 days

Schedule settings such as which products to schedule, whether to prorate or evenly divide etc., are managed in your org.

Automated Roll-ups of Scheduled Revenue by Product with Actuals Inputs

The RevenueCloud Fulfillments Module enables generation of monthly roll-ups of Scheduled Revenue by Opportunity Product with inputs for Actuals.
 
Note the related list of Fulfillment records in the screenshot below. There is one entry for the Ad Server Integration Product representing revenue forecasted for one month and 3 entries for the three month prorated subscription.

Each Fulfillment Record (screen shot below) contains:

  • The amount of scheduled revenue for the Opportunity Product and month. 
  • Override Amount field for entry of Actual Amount 
  • Actual Override checkbox field for applying Override Amount to Actual Amount  
  • Lookup to Revenue Product which contains all Opportunity Product and Product2 fields & information. 
  • Fulfillment splits for Reps reflecting their percentage of all included currency and numeric values according to the associated Opportunity or Product-Level Splits.

The screen shot below shows the same Fulfillment entry with an Actual Amount entered and the checkbox checked. Note that before the Actual amount was entered in the Actual Override field (above), the Actual Amount for reporting purposes was the forecasted amount and after entering the Actual Amount and checking the box, the Actual amount has been adjusted to what was entered.

This data model supports "Blended" reporting on forecast and actuals while also always maintaining discrete records of precisely what was forecasted, what was Actual and which records have been updated with Actuals (via the checkbox).

How is Product Splitting different from RevenueCloud™ Opportunity Splits?
RevenueCloud™ for Salesforce has always split Opportunity Products and Schedules between multiple Sales Reps but previously the splits were all required to be at the Opportunity level and were inherited by all Opportunity Products. Salesforce Opportunity Products can now be easily shared between different Sales Reps using different split percentages within the same Opportunity.

Will this add extra clicks for Sales Reps?
Opportunity Product Splits are totally optional so there are absolutely no new clicks added by this feature unless a user wants to create a Product Split. Just like RevenueCloud™ Opportunity Splits, Product splits will automatically be applied across any Quantity and / or Revenue Schedules created under the Opportunity Product.

  • A field on RevenueSplit: "Has Product Splits" in the RevenueCloud™ Opportunity Splits Interface indicates whether Product Splits have been created on any Opportunity Products in the current Opportunity. 
  • If no Opportunity Product Splits have been created, then all Opportunity Products and any related Revenue Schedules will continue to be split according to the Opportunity Splits.
  • If Opportunity Product Splits have been created, then they will control the assignment of Revenue to Reps on those specific Opportunity Products and any related Schedules. All other Opportunity Products will continue to inherit their Split Percentages from the Opportunity Splits. 
  • A new field: "Split Revenue" displays total value of the current split (taking into account product splits).

  • A familiar, user-friendly, RevenueCloud™ interface is now enabled on Opportunity Product.
